An agreement between Sulphur, Louisiana’s City Council and the Land Use Commission led to the use of a new electronic document and records management system. By going paperless, they will be able to improve data processes during meetings. Last Monday’s city council congregation and-Use-Commission-going-paperless”>was the first time they used their Dell tablets to take notes.
“It’s saving our city clerk a lot of time because she isn’t having to print out all of these documents to put the packets together,” Sulphur Mayor Chris Duncan told the American Press. “Now, all she has to do is get the documents from her computer and pop them in the tablets.”
Funding for the 10, $500 tablets came from their administration budget and will only be utilized during city council meetings. Information like the agenda, memos and other documents will be accessed from the tablet, replacing binders that were used in the past, according to KATC, a television network based out of Louisiana.
Not only does this new electronic document and records management system help the city clerk’s forms processing workload, it decreases administrative costs. Regularly handling operations with the tablets cuts down at least a case of paper per meeting.
“We’re big into recycling, and this is just another effort for the city to go green,” Duncan said. “Not only are we saving time, but we’re saving money and that adds up.”
Sulphur, Louisiana is one of other cities that are managing their information differently. Recently, Ohio officials decided to make all their state public records go live on the Internet for the general public.
